
Site Selection Service: (includes contract negotiation)
This process involves MIE receiving a profile of your company and any historical information on meetings previously held. MIE will meet with you via telephone or in person to incorporate your goals and adapt to your organization. MIE will learn all the necessary information on the actual meeting to include specific agenda and meeting needs, and will be authorized to contact hotels, convention centers, and/or any outside vendors on behalf of the organization for the purpose of hotel negotiations in pre-approved destinations. We will then introduce your detailed profile to establish a professional relationship from the start to secure all hotels in consideration in the approved destinations.
Contract Negotiations:
During this process MIE will review all venue contracts with you and provide legal language to protect you as well as the venue. We have years of contract negotiation skills and are continually updated and educated on the latest issues in the meeting planning industry. While we do not sign the contracts for you, we treat each one as if we do. You do not have to worry about the "small print" as we review every word to ensure that you are protected in every way. Such issues as, ensuring your food and beverage minimums are realistic for your programs, that attrition clauses don’t provide liquidated damages based on profit and resale of rooms, and that you have recourse in dual cancellation clauses should the hotel oversell.
Force Majeure clauses should cover your specific needs for the area that you are having your meeting, amenities that are important to your meetings should be contracted, and competitive guestroom rates negotiated (after reviewing what each city's marketplace is offering). Placing the guestroom rate in a competitive bid mode will result in achieving the very best rate for your attendees.
Meeting Management Services:
MIE Inc. will provide pre-event and post-event work deemed necessary by the customer to ensure a smooth and stress-free event to include; Budget Management/Monitoring/ Reporting/Setup of periodic review meetings providing updated budget spreadsheet/Updated spreadsheet with each cost line item as planning progresses/Reviewing Invoices / Billing/Resolved Discrepancies/Providing final invoice to client for payment/ Food and Beverage/Negotiations of Food and Beverage Functions: Review menus from venue and present menu options for each food and beverage event to client for approval/Execution of all Banquet Event Orders/Tracking of attendance and supplying hotel with final numbers / Guestroom Accommodations-update client on guestroom block analysis / Review possible red flags concerning attrition.
Audio Visual:
Create and send RFP – per day per room-send out to a minimum of (3) three companies / Negotiate best and final offer from all approved Audio Visual companies selected-provide updated information in budget spreadsheet / Set up of all Telephone and Internet services and Electrical needs-work with venue to establish all telephone and Internet requirements; negotiate best and final offer / Meeting Layouts-reviewing agenda with venue to ensure meeting room capacity meets group needs.
Event Registration Features:

Registration features include custom registration forms, custom questions, conditional logic, multiple attendee types, group registration, credit card processing, custom reports, name badges, confirmations and reminders, limits/waitlists, and discounts.
